Getting Started

  1. Select your local date for the meeting. You can use the Day, Month, and Year drop-downs or click on the calendar icon and select the date from a calendar.
  2. Next to Location 1, enter your location. If you don't find a location in the drop-down menu, click on Search... and enter the location into the search field. If it still does not appear, select a different location in the same country and time zone.
  3. Next to Location 2 and Location 3, select the locations of the other participants. Click on Add More Cities if your meeting involves more than 3 time zones.
  4. Click on Show Timetable.

Interpreting and Using the Results

Finding the best time for your meeting

The table shown after you click Show Timetable shows corresponding local times in the selected cities on the selected date. The times are color-coded to help you decide which time slot is best for the meeting. See the legend below the table for an explanation of the colors.

Editing a meeting

To select a different date after having clicked on Show Timetable, use the form above the table or click on Previous day or Next day below it. Use the links Change cities above the table or Change cities and date below it to return to the Meeting Planner set-up page. This will not delete your current selections.

Use the drop-down next to Change interval above the table to select shorter time slots. By default, each table row symbolizes 1 hour, but you can increase the frequency to up to 10 minutes per row.

Exporting and sharing the meeting time

Select a time slot by clicking on a row in the table. The following page shows details for your meeting. Click on Add to Calendar to create an ICS file, which allows you to add the meeting to your calendar.

To share it with the other participants, either copy and share the URL (web address) of this page, copy the table showing the local times and paste it into an email or post, or share the ICS file.

Why does it show the wrong local time?

We are confident that the times we show in the Meeting Planner are correct. Before sending us your error report, please consider the following:

  • You may have selected the wrong location. The page showing the color-coded overview of possible meeting times displays the selected locations above the table. However, there may be another city with the same name. To make sure you selected the right location, click on the city above the table to see more information, such as the country and its location on a map.
  • You may have selected the wrong date. The time differences between the cities you select can change during the course of the year as clocks change for Daylight Saving Time (DST). If you enter the wrong date, the Meeting Planner may give you local times that apply to other parts of the year.
  • If your meeting involves a location in the United Kingdom or Ireland, please note that these countries do not observe GMT during part of the year. They use BST, which is 1 hour ahead of GMT.

If you still think that a time shown in the Meeting Planner is wrong, please let us know.

What does the asterisk (*) mean?

Locations marked with an asterisk observe Daylight Saving Time on the selected date. This is automatically taken into account, so the times shown are the correct local times.

Why are some time slots crossed out?

Because they lie in the past. But you can still select them if you want to.

Why do I have to enter the date?

The time differences between the cities you select can change during the course of the year as clocks change for Daylight Saving Time (DST). If you enter the wrong date, the Meeting Planner may give you local times that apply to other parts of the year.

How do I add a meeting to my calendar?

Once you've set up your meeting and clicked on one of the time slots, you can add the meeting time to your calendar in programs like Outlook, Thunderbird, and iCal by clicking on Add to Calendar on the results page. This function works on most PCs, MACs, iPhone, iPad, as well as Android phones and tablets.

I often use the same locations. Can I save my selection of cities somehow?

Yes. Once you've selected your locations and clicked on Show timetable, you can save your selection by bookmarking or otherwise saving the page showing the color-coded timetable.

Please note that the time difference between the selected locations can change as Daylight Saving Time starts and ends, so it's important to select the correct date. By saving the page as described above, you will always see the timetable for the date you selected when you created the page, so you will have to select the correct date above the table.

How do I get the Meeting Planner to always show the current date?

If you want the color-coded overview of the best meeting times in your selected city to show the current date by default, automatically taking into account all clock changes as soon as they happen, follow these steps:

  1. Set up a meeting with your cities.
  2. In the URL (web adress), delete the part of the adress that defines the date. It begins with iso= followed by an 8-digit number.

    Example: https://www.timeanddate.com/worldclock/meetingtime.html?iso=20200101&p1=179&p2=136&p3=248

    In some cases, it can also be written as day, month, and year parameters, like in this example:

    https://www.timeanddate.com/worldclock/meetingtime.html?day=1&month=1&year=2020&p1=179&p2=136&p3=248

  3. After you have removed that part, the URL should look something like this:

    https://www.timeanddate.com/worldclock/meetingtime.html?p1=179&p2=136&p3=248.

  4. Press Enter.
  5. Bookmark or otherwise save this link. Whenever you open that page, it will show the current date.

Does it take into account Daylight Saving Time?

Yes, all Daylight Saving Time (DST) clock changes worldwide are automatically taken into account.

Does it take into account weekends?

Yes, the table shows different colors for weekend days. See the legend below the table for more information.

Please note that the Meeting Planner defines Saturday and Sunday as weekend days, even for countries that observe the weekend on different days.

Does it take into account public holidays?

No, but we offer a Meeting Planner app for iOS that does.

What is UTC?

It's the time standard used to determine local times around the world. You will find more information about it here.

Why are the date fields in the wrong order?

You can change the order of the Day, Month, and Year fields by selecting a different Short Date format in My Units.

The time has the wrong format. How do I change between the 24-hour and AM/PM clock?

Our system supports both 24-hour and 12-hour (am/pm) clock formats. To change the format, please go to My Units and make a selection in the Time Format drop-down, and click Save Settings.

Why isn't my town included?

This service includes all 5000+ locations in our database. Some of our services also include millions of additional locations provided by the GeoNames database. However, these GeoNames locations cannot be selected in this service yet.
